1. Who we are and what this covers
Rise Co is a personal training and Pilates studio in Burleigh Heads. We take your privacy seriously, particularly your health information, because you trust us with things you would not tell most people.
This policy explains what we collect, why we collect it, who sees it, how we look after it, and what you can do about it. It covers everyone we deal with: members, people who enquire or book a chat with us, visitors to our websites (riseco-studio.com and go.riseco-studio.com), and everyone who uses the Rise Co Studio app.
We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles. We are also bound by the confidentiality requirements in the Fair Trading (Code of Practice - Fitness Industry) Regulation 2003 (Qld).
2. What we collect
2.1 Personal information
- Your name, the name you like to go by, your date of birth, sex, height, phone number and email, and your address if you give it to us
- Your emergency contact
- If you are under 18, your parent's or guardian's name and email
- Your membership: what you are on, what you pay, your bookings and your attendance
- Billing and payment details, held by our payment provider, not by us
- How you found us, your enquiry history, and anything you tell us when you book a chat, such as your goal
- A profile photo, if you choose to add one
2.2 Health information (this is sensitive information)
- Your pre-exercise health screening, based on the Adult Pre-Exercise Screening System: heart and other medical conditions, symptoms such as chest pain or dizziness, injuries, allergies, medications, and how active you are
- Injuries, pain and niggles you tell us about, including in your weekly check-in, and any incident at the studio
- Your doctor's or physiotherapist's details, where you give them to us
- Pregnancy and postnatal information, including due dates, delivery history, complications, breastfeeding status, pelvic floor symptoms, diastasis recti and scar healing
- Your weight, measurements, body composition, progress photos and performance data, including every session and set you log
- What you eat and drink, your food preferences and allergies, and your calorie and protein targets
- Your steps, sleep and other activity data (see 2.4)
- Your goals, your weekly check-in answers (such as sleep, stress, motivation and how you are finding your coach), and how you are tracking
We collect health information because we cannot coach you safely without it. The health screening is compulsory before your first session for exactly this reason.
2.3 Our websites
When you visit riseco-studio.com or go.riseco-studio.com, the website may collect standard technical information such as your IP address, your browser and the pages you view.
We use the Meta Pixel to measure our Facebook and Instagram advertising. On riseco-studio.com it only runs if you accept the cookie banner. On go.riseco-studio.com, our challenge and booking pages, it runs when a page loads and it tells Meta when a chat has been booked. It does not send Meta your name, email, phone number or anything about your health. You can switch off ad tracking in your Facebook and Instagram settings, or use a browser that blocks it.
When you book a chat on go.riseco-studio.com, we collect your name, email, mobile and, if you add it, a sentence about your goal.
2.4 The Rise Co Studio app
The app holds your training, food, habits, check-ins, body stats, progress photos, messages with your coach and anything you post. As well as what you type in yourself:
- Apple Health. Only if you allow it, and only the types you allow, the app reads your steps, sleep, resting heart rate, heart rate variability, heart rate recovery, VO2 max, active and resting energy, exercise and stand time, walking speed, weight, body fat and lean mass. It can also save the sessions you log as workouts in Apple Health. We use this to show you your trends, to help your coach, and to score steps in challenges. We never use Apple Health data for advertising or marketing, and we never share it with anyone outside Rise Co. You can change what the app can see at any time in your iPhone's Settings.
- Notifications. If you allow notifications, Apple gives the app a device token so we can send you the notifications you have switched on. You choose which ones, and your quiet hours, in the app.
- Your camera, photos and microphone, only when you use them: to take or choose a photo, to record a voice note, or to say a food out loud. Where your phone supports it, turning your voice into text happens on your phone.
- Snap your plate. If you use it, the photo of your meal is sent to Anthropic, an AI company in the United States, to estimate what is on the plate. You check the estimate before anything is logged. Under Anthropic's commercial terms your photo is not used to train its models. If you never use the feature, nothing is sent.
- How the app is used. We record which screens are opened and when, and crash reports, so we can see what is working and fix what is not. We keep the screen records for 90 days.
What other members can see. On challenge leaderboards and in The Studio room, other members can see your first name, the first letter of your surname, your profile photo if you add one, your points, streak and place, and anything you post there. On a challenge's Change board they can also see how much your weight or waist has changed as a percentage of where you started, but never the number itself. They never see your health screening, your food, your measurements or your messages with your coach.
2.5 Members under 18
We coach people aged 13 to 17 only with a parent's or guardian's agreement. The parent agrees to our terms on their behalf and completes the health screening with them, and we hold the parent's name and email. Members under 18 are not placed on challenge leaderboards.
3. How we collect it
- Directly from you, which is how we get almost everything: in the app as you set it up and use it, your health screening, your check-ins, what you tell your coach, your enquiry, and when you book a chat
- From your coach, who records your sessions, measurements and notes about your training
- From Apple Health, only with your permission
- From our booking, class and payment systems as you use them
- From our websites
- From Trainerize. If you have trained with us on Trainerize, we copy your training history, programs, body stats and details into the Rise Co Studio app so your record carries on
- From a health professional, only where you have asked us to speak to them, or you have given us written authorisation
If someone else gives us your information, for example a partner enquiring on your behalf, we will tell you as soon as we can.
4. Why we collect it
- To screen you and decide whether it is safe for you to train, and how
- To design, run and adjust your training and nutrition
- To deliver your sessions and classes and manage your bookings
- To run challenges, leaderboards and streaks
- To bill you and manage your account
- To contact you about your training, your bookings and your account, including the notifications you have switched on
- To respond to enquiries
- To keep the app working and secure, and to fix problems
- To meet our obligations under Queensland fitness industry, work health and safety, tax and consumer law
- With your consent, to send you marketing about Rise Co
Worked out by the app. Some numbers are calculated automatically, such as suggested calorie and protein targets (from your age, sex, height, weight and activity), streaks and challenge points. Your coach can see and change your targets, and you can always ask us how a number was worked out.
Your consent to health information. We collect sensitive health information with your consent, which you give when you complete the health screening. You can withdraw that consent at any time, but be aware we cannot safely coach you without current health information, so withdrawing it may mean we cannot keep training you.
5. Who we share it with
Your health and personal information stays confidential. We do not sell your information and we never will.
We only use or disclose it:
- for the reasons set out in section 4
- with your written authorisation
- where the law requires or authorises it
- in an emergency, where it is needed to prevent a serious threat to your life, health or safety
5.1 Inside Rise Co
Your coach and the owners of Rise Co can see what they need to keep you safe and coach you well. Other coaches can see your name so they can mark you in at a class or session, but they only see your record while they are covering for your coach. Whenever anyone at Rise Co opens your health screening or your progress photos, the app records who opened them and when. Our team is required to keep your information confidential.

5.3 Sending information overseas
The Rise Co Studio app's database and files are held in Tokyo, Japan. Anthropic, Netlify and Meta are in the United States. Some of our other providers may also store information outside Australia, including in the United States. HubSpot holds our list of clients and enquiries in Sydney.
Where information is held overseas, we take reasonable steps to make sure it is handled consistently with the Australian Privacy Principles, including by only using established providers with published privacy and security practices.
By providing your information to us, you consent to it being stored and processed in this way. If you would prefer your information was not stored overseas, tell us and we will talk you through what that means for the services we can provide.
6. Photos and video
We only use identifiable photos or video of you for marketing or social media if you have opted in. It is optional and it never affects your training.
You can withdraw consent any time by emailing rise_co@outlook.com. We will stop using new images of you and remove existing ones where we reasonably can. Some things, like content already shared by others, cannot be recalled.
Your progress photos are never used for marketing. They are health information. In the app they are seen only by you, your coach and the owners, and every time one of us opens them it is recorded.
Before and after photos. If we ever want to use your progress or before and after photos for anything, we will ask you first, specifically and in writing, every single time. No general consent covers those.
Other photos in the app. A photo you add as proof for a habit, such as a photo of a meal, is seen by your coach. Your profile photo, if you add one, is seen by other members.
7. How we keep it safe
- Digital records sit in access controlled systems, and only staff who need access have it
- In the app, each member can only see their own record and each coach only sees their own members, and information travels encrypted between your phone and our database
- Opening someone's health screening or progress photos leaves a record of who opened them and when
- Paper forms are kept in locked storage at the studio
- Staff are briefed on confidentiality and it is a condition of working here
- We review who has access when someone joins or leaves the team
If there is a data breach that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
8. How long we keep it
We keep your information while you are a client and for 7 years after you stop training with us. That period reflects tax and record keeping obligations and the time limits that apply to injury claims. Some things are kept for less time:
- Progress photos: 3 years while you are a member and 12 months after you leave, then deleted
- Records of how the app is used: 90 days
- Records of who opened health information: 2 years
After that we destroy it or de-identify it securely.
9. Your rights
You can see the information we hold about you. In the app, the You tab gives you a copy of your data whenever you like. Or email Charlie at rise_co@outlook.com and we will respond within 30 days. It is free, though we may charge for the actual cost of copying if a paper request is large.
You can ask us to correct it if it is wrong, out of date or incomplete. You can change your own details in the app, and we will fix anything else. If we disagree we will tell you why and note your view on the file.
You can choose your notifications in the app, including quiet hours, and switch them off entirely in your iPhone's Settings.
You can opt out of marketing any time. Every marketing email has an unsubscribe link, or just tell us.
You can ask us to delete your information. In the app, go to the You tab and tap Delete my account, or email us. We complete it within 30 days. We may need to keep some records to meet legal obligations, and anything we keep is de-identified where we can. Deleting your account does not cancel your membership or stop payments, so tell us if you want to do that too.
10. Complaints
If you think we have mishandled your information, tell us first and we will try to fix it.

11. Changes to this policy
We will update this policy as our systems change. The current version is always at go.riseco-studio.com/privacy. If we make a change that materially affects how we handle your information, we will tell you.
